Job Summary

Senior Executive Assistant

• Supports the Chief Operating Officer (COO) in managing executive priorities, communications, meetings, documentation, stakeholder coordination, and follow‑up discipline across the shopping mall asset management portfolio.

• This senior role requires maturity, discretion, strong organization, clear communication, and the ability to anticipate needs while coordinating matters independently. The successful candidate will protect the COO’s time, support decision‑making workflows, maintain confidentiality, and ensure proper follow‑through of key matters.

 

Duties and Responsibilities

1. Executive Support – Manage calendar, appointments, inbox, correspondence and daily priorities with strong ownership.

2. Meeting Coordination – Prepare agendas, Board packs, meeting papers, minutes and track decisions/action items.

3. Stakeholder Liaison – Act as first point of contact for Board members, tenants, vendors, regulators and partners.

4. Document Management – Draft, review, and format executive correspondence, reports, and presentations.

5. Meeting & Event Coordination – Organize management reviews, tenant engagements, offsites, and executive travel.

6. Confidential Information Management – Handle sensitive HR, legal, financial and tenant information with discretion.

7. Project & Action Tracking – Maintain live registers for strategic initiatives, operational matters and capex projects.

8. Financial & Report Coordination – Support consolidation of management reports, budgets and expense claims.

9. Executive Fleet Management – Oversee COO/Board vehicles, drivers, scheduling, servicing and insurance renewals.

10. Insurance Claims – Coordinate documentation and follow‑up with insurers, brokers and Finance.

11. Legal Coordination – Liaise with external counsel, track legal matters, contracts and signature workflows.

12. Office & Systems Coordination – Ensure executive office workflows, approvals and filing systems are reliable.

 

Position Requirements

• Experience: Minimum 5–8 years in EA/PA, senior administrative, legal secretary or executive support roles.

• Leadership Exposure: Prior support to C‑level, directors, or senior management preferred.

• Industry Exposure: Property, retail, shopping mall, hospitality, legal, insurance, or finance advantageous.

• Education: Diploma/Degree in Business Administration, Secretarial Studies, Communications, or Legal Studies.

• Skills: Calendar/inbox management, document preparation, meeting coordination, travel logistics, claims administration.

• Soft Skills: Organized, proactive, discreet, composed, tactful, resilient, and reliable.

Car Park & Traffic Control Personnel

Job Responsibilities & Requirement

Job Summary

• Regulate, control and manage traffic flow and parking operations within the shopping mall premises.

• Operate and monitor the License Plate Recognition (LPR) system to support traffic control, parking enforcement and vehicle movement management.

• Provide safe and courteous buggy car transport service for customers, prioritizing elderly, disabled (OKU) and families with children.

 

Duties & Responsibilities

• Control and regulate traffic flow at entry/exit points and internal road areas.

• Guide motorists to proper parking bays and ensure orderly use of open and multi‑storey car parks.

• Monitor and manage peak‑hour traffic congestion; take immediate action to ease buildup.

• Ensure traffic signage, cones, barricades, and road markings are properly placed and complied with.

• Prevent illegal parking and obstruction of emergency lanes, fire access routes, and pedestrian walkways.

• Assist shoppers and tenants with traffic directions, parking enquiries, and general assistance.

• Report traffic incidents, accidents, damages, or abnormal situations promptly to the security control room.

• Coordinate with CCTV personnel/Executive for monitoring traffic conditions, vehicle incidents and LPR alerts.

• Operate, monitor, and perform basic checks on the LPR system to ensure accurate vehicle entry/exit records.

• Enforce compliance with mall traffic rules, car park regulations and SOPs.

• Assist during emergencies, evacuations, VIP movements, special events and promotional activities.

• Maintain polite, courteous and professional conduct when dealing with the public.

• Maintain daily records, reports and logbooks related to traffic and car park operations.

• Be familiar with building layout, car park plan and emergency access routes.

• Ensure strict compliance with safety requirements and traffic control procedures.

• Operate buggy cars safely to transport customers from open car park areas to the mall.

• Prioritize service for elderly, disabled (OKU), and families with children.

• Conduct daily inspection of buggy cars (battery, brakes, tyres, overall condition).

• Carry out basic maintenance, including battery care and minor part replacement.

• Report damage, defects, or malfunctions immediately to Supervisor.

• Maintain buggy car cleanliness (daily seat/foot area cleaning, weekly washing).

• Keep simple records/logbooks for buggy usage, inspection, and maintenance.

• Perform any other duties as directed by the Security & Car Park Manager or Management.

 

Position Requirements

1. Qualifications: Minimum SPM.

2. Experience: At least 1-year relevant experience in traffic, parking, or related field.

3. Skills / Competencies:

• Able to work shifts, weekends and public holidays.

• Basic Microsoft Office and computer skills.

• Exposure to LPR and electronic parking systems essential.

• Valid driving license D (operate buggy).

Finance Manager

Roles & Responsibilities

• Lead and oversee the operations of the Accounting & Finance Department, ensuring an organizational structure that supports departmental goals and objectives.

• Maintain a full set of accounts and deliver timely, accurate financial reporting in compliance with Approved Accounting Standards.

• Administer the Company’s financial and accounting systems, ensuring all methods and procedures align with Group policies.

• Prepare and compile budgets, forecasts, and cost monitoring reports to support effective financial planning.

• Develop annual budgets and provide recommendations for strengthening internal controls and improving processes.

• Manage key management accounting functions, including budgetary control, investment evaluation, and project appraisal in collaboration with the Group Corporate Finance team.

• Direct, control, and coordinate the development of effective management information systems to support decision-making.

• Oversee tax management and financial planning activities of the Company.

• Monitor the Company’s risk profile continuously and ensure adequate insurance coverage is maintained.

• Standardize financial reporting schedules to improve efficiency in month-end analysis and responses to management queries.

• Ensure timely submission of financial, statutory, and ad-hoc reports to management and external stakeholders.

• Manage and monitor cash inflows and outflows, ensuring proper control of all cash-related functions.

• Liaise with auditors and tax agents to ensure compliance with audit and statutory requirements.

• Identify and resolve operational issues related to accounting and finance.

• Drive departmental performance to achieve targeted KPIs.

• Undertake any other duties and responsibilities as assigned by senior management.

Requirements

Qualifications

• Professional qualification in Accounting or a Degree in Accounting, Finance, or a relevant discipline.

• Membership in professional bodies such as ACCA, CIMA, CPA, or MIA will be an added advantage.

Experience

• Minimum of 5 years’ working experience in the accounting/finance field, preferably within the property, mall management or real estate industry.

• Proven track record in managing financial operations and compliance with industry standards.

Skills & Competencies

• Strong knowledge of Malaysian Accounting Standards and other relevant regulatory requirements.

• Excellent oral and written communication skills, with the ability to present complex information clearly.

• Highly self-motivated, analytical, and proficient in financial systems and computer applications.

• Solid understanding of internal control principles and risk management practices.

• Demonstrated reliability and integrity, with the ability to handle confidential and sensitive information responsibly.
