Job Summary
Senior Executive Assistant
• Supports the Chief Operating Officer (COO) in managing executive priorities, communications, meetings, documentation, stakeholder coordination, and follow‑up discipline across the shopping mall asset management portfolio.
• This senior role requires maturity, discretion, strong organization, clear communication, and the ability to anticipate needs while coordinating matters independently. The successful candidate will protect the COO’s time, support decision‑making workflows, maintain confidentiality, and ensure proper follow‑through of key matters.
Duties and Responsibilities
1. Executive Support – Manage calendar, appointments, inbox, correspondence and daily priorities with strong ownership.
2. Meeting Coordination – Prepare agendas, Board packs, meeting papers, minutes and track decisions/action items.
3. Stakeholder Liaison – Act as first point of contact for Board members, tenants, vendors, regulators and partners.
4. Document Management – Draft, review, and format executive correspondence, reports, and presentations.
5. Meeting & Event Coordination – Organize management reviews, tenant engagements, offsites, and executive travel.
6. Confidential Information Management – Handle sensitive HR, legal, financial and tenant information with discretion.
7. Project & Action Tracking – Maintain live registers for strategic initiatives, operational matters and capex projects.
8. Financial & Report Coordination – Support consolidation of management reports, budgets and expense claims.
9. Executive Fleet Management – Oversee COO/Board vehicles, drivers, scheduling, servicing and insurance renewals.
10. Insurance Claims – Coordinate documentation and follow‑up with insurers, brokers and Finance.
11. Legal Coordination – Liaise with external counsel, track legal matters, contracts and signature workflows.
12. Office & Systems Coordination – Ensure executive office workflows, approvals and filing systems are reliable.
Position Requirements
• Experience: Minimum 5–8 years in EA/PA, senior administrative, legal secretary or executive support roles.
• Leadership Exposure: Prior support to C‑level, directors, or senior management preferred.
• Industry Exposure: Property, retail, shopping mall, hospitality, legal, insurance, or finance advantageous.
• Education: Diploma/Degree in Business Administration, Secretarial Studies, Communications, or Legal Studies.
• Skills: Calendar/inbox management, document preparation, meeting coordination, travel logistics, claims administration.
• Soft Skills: Organized, proactive, discreet, composed, tactful, resilient, and reliable.
• Technology: Strong Microsoft Office skills; Google Workspace and videoconferencing tools preferred.
• Languages: Excellent English and Bahasa Malaysia; Mandarin/Cantonese an advantage.
• License: Valid Malaysian Class D driving license preferred.
